How Far in Advance Should You Book Your Wedding Venue?

What couples wish they'd known sooner, and how to make sure your date is still available.

If you just got engaged, congratulations. Truly. And if one of the first things you typed into Google was some version of "when do I need to book a wedding venue," you're already thinking about this the right way.


The short answer is: sooner than you think, most couples if they want a specific date plan and book by the 15 month mark.


The longer answer is below.


How Far Out Do Most Couples Book?

At 314 Exchange, most couples are securing their dates 11 to 14 months in advance. That's not pressure. It's just reality. Popular Saturday dates in spring (April and May) and fall (September and October) fill up fast, and once a date is gone, it's gone. We host one wedding per day, which means we only have so many dates to offer each year.


If you're planning a longer engagement, 12 to 18 months out is a comfortable window that gives you plenty of time to build your vendor team around your venue. If you're working with a shorter timeline, don't count yourself out. We do occasionally have dates available within a few months, especially on Fridays, Sundays, and off-peak seasons. Reaching out early is always worth it.


What the Booking Process at 314 Exchange Looks Like

We want the process to feel clear and low-pressure from the start. Here's how it works:


The first step is a tour. You'll walk through the full venue, the indoor hall, the covered outdoor barn structure, the loft, the photo room, and the outdoor grounds. We'll answer every question you have, talk through your vision, and make sure the space feels right before you make any decisions.


If you'd like to move forward after your tour, we'll schedule a follow-up booking call to confirm your date, go over what's included in your rental, and walk through the next steps. Once your contract is signed and your deposit is received, your date is officially secured.


From there, we stay in close communication leading up to your wedding. About two weeks after booking we'll send your first planning form covering your in-house service selections. Around four to four and a half months before your wedding, you'll receive a second form for vendor contacts and day-of logistics. We also offer a walkthrough appointment for booked couples so you can plan your setup and décor in detail before the big day.


Why Booking Early Matters More Than the Date Itself

Here's something couples don't always realize: booking your venue first unlocks everything else. Your photographer, caterer, florist, and DJ all work around your venue date. Until that's locked in, the rest of your vendor conversations are just hypothetical.

The earlier you secure your venue, the earlier you can secure the rest of your team, and the more likely you are to get your first choices across the board.
